How Your Automations Work
Automations are workflows that run in the background. They handle repetitive communication and follow-up so nothing falls through the cracks.
How they work
An automation is triggered by an event (a form submission, a pipeline stage change, a missed call) and then executes a sequence of actions (send a text, send an email, create a task, wait, then follow up again).
Every automation is built around your specific business and sales process. What's configured for your account depends on how you operate.
Types of automations
Here are some examples of what automations can do. Your specific setup may include some, all, or different variations of these:
- Speed-to-lead. When a new inquiry comes in, an instant response goes out. Fast response time is one of the biggest factors in whether a lead converts.
- Follow-up sequences. A series of messages sent over a set period to stay in front of leads who haven't responded. Stops automatically when they reply.
- Missed call handling. If a call comes in and isn't answered, an automatic text follows up.
- Appointment reminders. Reminders sent before scheduled calls or meetings to reduce no-shows.
- Pipeline-triggered actions. When a deal moves to a certain stage, specific actions fire automatically (notifications, emails, task creation, etc.).
- Reputation management. After a job or engagement is complete, a review request can be sent to build your online presence.
After delivery
Once your CRM is delivered, your automations are live and running. You're responsible for:
- Responding to leads. Automations handle the initial outreach and follow-up. When a lead replies, that's your conversation to have.
- Working your pipeline. Moving deals through stages, following up personally, closing.
- Flagging issues. If something seems off with an automation (wrong message, bad timing, sequence not stopping), let us know.
Automations run on your behalf, but the relationships are yours. The system handles the repetitive work so you can focus on the personal interactions that close deals.
What "managed" means on monthly plans
On higher-tier monthly plans, automation maintenance is included. That means:
- Keeping workflows running and fixing issues
- Adjusting sequences and timing based on performance
- Adding or modifying automations as your business evolves
- Monitoring system health and deliverability
This does not mean we respond to your leads, manage your conversations, or work your pipeline. Those are always yours.
Messaging compliance
Automated messages (SMS, email) sent through your CRM are sent on your behalf. You are the sender under applicable laws. By using automated messaging, you confirm that proper consent has been obtained from your contacts and that opt-out requests are honored.
