Calendar & Booking

How booking works

If your plan includes a booking calendar, visitors can schedule time with you directly from your website. When someone books, the following happens automatically:

  1. Confirmation email sent to the contact with the date, time, and any prep instructions.
  2. Confirmation email sent to you with the contact's details and booking information.
  3. Calendar event created on your synced calendar (Google Calendar, Outlook, etc.).
  4. CRM contact created (or updated if they already exist) with the appointment attached.
  5. Automated follow-up may trigger depending on your setup (see Automations).

Calendar sync

Your booking calendar syncs with your personal or business calendar to prevent double-bookings. During setup, the calendar sync is configured so your availability always reflects your real schedule.

If you add a personal event to your synced calendar, that time automatically becomes unavailable for booking.

Sync works both ways. Bookings made through your site show on your personal calendar, and events on your personal calendar block booking times on your site.

Setting your availability

Your available booking hours are set during setup. If you need to change your availability:

  • Temporary change (vacation, busy week): Block the time on your synced calendar and the booking page adjusts automatically.
  • Permanent change (new business hours): Contact support@samoya.com and the booking calendar will be updated.

Reminders

Automated reminders can be configured to reduce no-shows:

  • 24 hours before. A reminder email or SMS sent to the contact.
  • 1 hour before. A final reminder with the meeting link or address.
  • Customizable. Reminder timing and content can be adjusted based on your needs.

Rescheduling and cancellations

Contacts can reschedule or cancel through the confirmation email they received. The system automatically updates:

  • Your calendar
  • The CRM contact record
  • Any active automations

If you need to cancel or reschedule on your end, you can do it from the CRM or your synced calendar. The contact will be notified automatically.

Meeting types

Your booking page can include multiple meeting types, for example:

  • Discovery call (30 min)
  • Strategy session (60 min)
  • Quick check-in (15 min)

Each type can have its own availability, duration, and confirmation messaging. If you want to add or adjust meeting types, reach out.
