Setting Up Your Accounts
During onboarding, access is provided to two systems: the portal (for project management) and the CRM (for lead and pipeline management). This page covers the initial setup for both.
Portal setup
The portal lives at portal.samoya.com.
- Accept the invite. An invitation email is sent during onboarding. Click the link in the email to create the account.
- Set a password. Choose a secure password and save it.
- Bookmark the URL. Saving portal.samoya.com as a bookmark makes future access faster.
If the invite email does not arrive, check the spam folder. If it is still not there, reach out to support@samoya.com and a new invite will be sent.
CRM setup
The CRM lives at app.samoya.com.
- Log in. CRM credentials are provided during onboarding. Use them to access the system for the first time.
- Set a new password. After the first login, update the password through the profile settings.
- Connect a Google Calendar. This enables two-way sync between the CRM calendar and Google Calendar. Appointments booked in the CRM appear on the Google Calendar, and events on the Google Calendar block availability in the CRM.
- Navigate to Settings → Calendars (or Settings → Calendar Integration).
- Follow the prompts to sign in to the Google account and authorize access.
- Set the timezone. Ensure the timezone is set correctly so appointments and notifications reflect the right local time. This is found under Settings → My Profile or during calendar setup.
- Set availability. Availability hours determine when contacts can book appointments. Default hours are typically Monday through Friday, 9:00 AM to 5:00 PM, but these can be adjusted to match the actual schedule.
Calendar integration is important. Without it, appointments booked through the CRM will not appear on the Google Calendar, and existing calendar events will not block CRM availability. This can lead to double bookings.
Mobile app
Download the CRM mobile app to manage leads and conversations from a phone. For setup instructions, see Mobile App.
Notification preferences
Both systems send notifications by email when important events happen. To adjust notification settings:
- Portal: Check the notification preferences in the portal account settings.
- CRM: Navigate to Settings → My Profile and adjust notification preferences for new leads, appointments, and messages.
All of this can be done in under 15 minutes. The onboarding call will cover the setup process, and this page serves as a reference if any steps need to be revisited.
