Tasks

Tasks are internal to-dos that can be assigned to team members and linked to specific contacts. They are useful for tracking follow-ups, managing commitments, and ensuring nothing falls through the cracks.

Where to view tasks

Tasks are visible in three places:

Adding a task

From a contact record

  1. Open the contact.
  2. Click the Task button in the contact view.
  3. Enter the task title and description.
  4. Set the due date.
  5. Assign it to a team member (or to yourself).
  6. Save.

The task is now linked to that contact and will appear in the dashboard task feed and the Contacts → Tasks view.

From the Tasks view

  1. Navigate to Contacts → Tasks.
  2. Click Add Task.
  3. Fill in the title, description, due date, and assignee.
  4. Optionally, associate the task with a specific contact.
  5. Save.

Managing tasks

  • Mark as complete. Click the task checkbox to mark it done. On the dashboard, tasks can be completed directly from the feed.
  • Edit a task. Open the task to change the due date, description, or assignee.
  • Filter tasks. Use the task view to filter by Overdue, Due Today, Upcoming, or by assignee.

When tasks are created automatically

Some tasks are created by the system based on activity:

  • Missed call. A task may be created prompting a return call.
  • Appointment cancelled. A task may be generated to review and follow up.
  • Contact needs attention. Certain workflow triggers can create tasks to ensure timely action.

Tips

  • Use tasks for commitments. If a follow-up was promised, create a task so it does not get forgotten.
  • Check the dashboard daily. A quick glance at the task feed catches anything overdue or due today.
  • Link tasks to contacts. Associating a task with a contact keeps everything in context and makes follow-up easier.

Tasks are for internal tracking only. Contacts never see tasks. They are a behind-the-scenes tool for managing follow-up and commitments.
