Tasks and Your Project Board
The project board is the primary way work is tracked and delivered. Every task represents a piece of work, and the board provides a clear view of where everything stands at any given time.
How the board is organized
The board uses columns. Each column represents a stage in the workflow:
| Column | What it means |
|---|---|
| On Hold | Paused or waiting on something before it can proceed (often waiting on information or a dependency). |
| To Do | Queued and scheduled, but not started yet. |
| In Progress | Actively being worked on by the team. |
| Needs Review | Ready for your review. This is your signal to take a look and leave feedback. |
| Complete | Approved, delivered, and finalized. No further action needed. |
Tasks move from left to right as work progresses.
Board views
The board can be viewed in three different ways:

|---|---|
| Board | The default Kanban view with columns. Best for seeing workflow status at a glance. |
| Table | A spreadsheet-like list of all tasks. Best for scanning many tasks quickly. |
| Calendar | Tasks displayed on a calendar based on dates. Best for seeing timelines and deadlines. |
Switch between views using the tabs at the top of the Tasks page.
Pinned Resources
The board includes a Pinned Resources column on the right side. This column contains important reference cards that are always visible, regardless of task activity:
- Logins and Access. A quick reference for all login URLs and credentials related to your project.
- Support and Contact. How to reach the team and where to direct questions.
These cards stay pinned and are not part of the task workflow. They are there for quick reference.
Meeting Summaries
After every call, a summary is posted to the board in the Meeting Summaries column. Each summary covers:
- What was discussed
- Decisions made
- Action items and next steps
These summaries create a running record of the entire project. They can be referenced at any time to review what was agreed upon.
What a task contains
Each task includes:
- Title. A short description of the work.
- Description. Context, instructions, or a summary of what was done.
- Attachments. Files, documents, or links tied to the task.
- Comments. A thread for discussion, feedback, and revision notes.
- Status. Which column the task currently sits in.
How to review a task
- Open the task from the board (click the task card).
- Read the description and review any attached files.
- Leave a comment with feedback. Be specific: reference exact sections, suggest exact replacements, and consolidate all notes into a single comment.
- Tag the team using @ so they receive a notification.
- If everything looks good, confirm approval in the comments or click the approve button on the file. The task will be moved to Complete.

Tips for staying on top of your board
- Check the portal regularly. Even a quick scan catches items waiting for review.
- Respond to "Needs Review" tasks promptly. Delays in review directly slow down delivery.
- Use comments, not separate messages. Feedback left on the task stays with the task and is easier to act on.
- Always tag. Without @ tagging, comments do not trigger notifications.
