Files and Deliverables

Files is the third section on the portal home screen, listed below Tasks and Chat. Every deliverable produced during a project is uploaded here. Files are organized into folders and attached to the relevant tasks, so nothing gets lost and everything is easy to find.

Where to find your files

Files are stored in two places:

  1. Attached to tasks. When a deliverable is completed, the file is attached directly to the task it relates to. Open the task and the file will be there.
  2. In your folders. The portal includes a folder structure where files are organized by category. Common folders include:
FolderWhat's inside
Brand AssetsLogos, favicons, OG images, hero images
StrategyMessaging frameworks, positioning docs, guides
ResourcesSOPs, reference documents, training materials

Additional folders are created as the project grows and new categories of deliverables are produced.

How to access a file

  • Navigate to the relevant task and open the attachment, or
  • Browse the folder structure to find files by category

Files can be downloaded directly from the portal for local use.

How deliverables are organized

The project follows a consistent delivery pattern:

  1. Work is completed and the deliverable is uploaded.
  2. The task moves to "Needs Review" on the project board.
  3. The file is attached to the task and, where applicable, added to the relevant folder.
  4. Feedback is provided via comments on the task.
  5. Once approved, the final version remains in the portal as a permanent reference.
ℹ️
Files attached to tasks and files in folders are both permanent. Even after a task is marked Complete, the attachments remain accessible. The folder structure provides a long-term, organized archive of everything delivered.

Tips

  • Check the task first. If looking for a specific deliverable, the fastest route is to find the task it came from.
  • Use folders for browsing. If looking for a file by category rather than by task, browse the folder structure.
  • Keep downloaded copies current. If a file is revised, the latest version will be in the portal. Downloaded copies may be outdated.
