Approving Deliverables
The portal includes a formal approval workflow for deliverables. When something is ready for sign-off, it can be approved with a single click. This creates a clear record of what has been finalized and prevents miscommunication about deliverable status.
How the approval process works
- A deliverable is completed and uploaded to the task.
- The task moves to Needs Review on the project board.
- Review the deliverable: open the task, read the description, and check the attached files.
- Leave any feedback as comments (see Commenting and Tagging) or as visual annotations on the file (see Commenting on Files).
- If revisions are needed, leave specific feedback and the task will be updated.
- When satisfied, approve the deliverable by clicking the approve button on the file or confirming in the comments.
What approval means
Approving a deliverable signals that:
- The work meets expectations.
- No further revisions are needed on this version.
- The team can move forward to the next phase or task.
Approval is the green light. Once approved, the deliverable is considered finalized. If changes are needed later, they can be scoped as a new task or revision round.
Where to approve
Approval actions are available in two places:

| Task comments | Leave a comment confirming approval. Tag the team so they are notified. Best for strategy documents, copy, or text-based deliverables. |
Tips for a smooth approval process
- Review promptly. When a task is in "Needs Review," the project is waiting. Delays in review directly slow down delivery timelines.
- Be thorough in one pass. Review everything in the deliverable at once and consolidate all feedback into a single comment. Multiple small rounds of feedback create delays.
- Use specific language. "Approved" or "Approved, no changes needed" is clear. "Looks fine" is ambiguous.
- If unsure, ask. If something is unclear about the deliverable, ask a question before approving. It is better to clarify than to approve and revisit later.
What happens after approval
Once a deliverable is approved:
- The task moves to Complete on the project board.
- The approved file is permanently available in the portal for reference.
- Work progresses to the next task or phase.
- The team is notified and can proceed without waiting for additional confirmation.
