Commenting on Files
The portal allows feedback to be left directly on images, PDFs, and design files. Instead of describing what needs to change in a written message, simply click the exact spot on the file and type the feedback.
How to leave feedback on a file
Step 1: Open the file
Navigate to the task that contains the file. Click the file thumbnail or filename to open the full preview. The file opens in a viewer directly inside the portal. There is no need to download anything.
Step 2: Click on the file to place a pin
The file preview is interactive. Clicking anywhere on the image or document places a pin at that exact location. Each pin is numbered (1, 2, 3, etc.) so every piece of feedback is clearly tied to a specific spot on the file.
Step 3: Type the feedback
Once the pin is placed and the comment box appears:
- Type the feedback or instruction.
- Tag the team using @ followed by their name so they receive a notification.
- Click Send or press Enter.
The comment is now saved and linked to that specific pin on the file.
Step 4: Repeat for additional feedback
To leave more feedback on different parts of the same file, click another spot on the file. A new numbered pin will appear. Each pin has its own comment thread, so multiple pieces of feedback stay organized and easy to reference.
Where to find the file to comment on
Files can be found in several places:
| Location | How to get there |
|---|---|
| Inside a task | Open the task from the project board. The file is attached in the task details. Click the file to open the preview. |
| In the files tab | Navigate to the Files or Deliverables area of the project. Files are organized into folders. Click any file to open the preview. |
| From a notification | If a notification was received about a file needing review, click the notification link. It opens directly to the file. |
Supported file types
| Type | Formats | Visual feedback available? |
|---|---|---|
| Images | JPG, PNG, GIF, SVG | Yes. Click anywhere on the image to pin. |
| Documents | Yes. Click on any page to pin. | |
| Design files | AI, PSD, XD | Yes. Click on the design to pin. |
| Other files | DOCX, XLSX, etc. | No. Use task comments instead. |
Managing feedback on a file
Once feedback has been left, the pins and comments appear in a panel on the right side of the file preview.
- Resolve a comment. Click the checkmark on a comment to mark it as resolved once the change has been made. Resolved comments are hidden from the default view.
- Filter comments. Toggle between showing all comments, unresolved only, or resolved only. This is useful during revision rounds to focus on what still needs attention.
- View the thread. Click any numbered pin on the file to jump to its comment thread in the side panel.
Approving a file
When the file looks good and no further changes are needed:
- Open the file preview.
- Click the Approve button.
- The file is marked as approved and the team is notified.
An approved file is visually marked as finalized. This creates a clear record that the deliverable has been signed off.
Troubleshooting
"I can't figure out how to comment."
Make sure to click directly on the file image itself, not on the area around it. The cursor should change when hovering over the file, indicating it is clickable.
"I don't see the file."
Check the task attachments. If the file is not attached to the task, check the Files tab in the project navigation.
"My comment didn't get a response."
Make sure to tag the team using @ in every comment. Without a tag, no notification is sent and the comment may not be seen.
Tips
- Click the file, not the page. The interactive area is the file preview itself. Click on the design element that needs attention.
- One pin per piece of feedback. Drop a pin for each specific item. Do not combine multiple feedback points into one pin.
- Always tag using @. Without a tag, no notification is sent. See Commenting and Tagging.
- Use the Approve button. When satisfied, approve instead of commenting. See Approving Deliverables.
