Commenting and Tagging

Comments are the primary way to communicate within the portal. Whether leaving feedback on a task or asking a question, comments keep everything organized and tied to the work it relates to.

How to comment on a task

  1. Open the task from the project board.
  2. Scroll to the comment section at the bottom of the task.
  3. Type the comment in the text field.
  4. Click Send (or press Enter).

The comment is now attached to that task and visible to everyone with access.

Tagging the team

Always tag the team when leaving a comment. If a comment is posted without a tag, the team will not receive a notification and may not see it. Tagging ensures the right people are alerted immediately.

To tag someone in a comment:

  1. Type the @ symbol in the comment field.
  2. Start typing the person's name.
  3. Select the correct name from the dropdown that appears.
  4. Finish the comment and send.

The tagged person receives a notification by email and in their portal inbox. This is the fastest way to get a response.

When to tag

  • Every time feedback is left on a task. Even if it seems obvious, a tag guarantees it gets seen.
  • When asking a question. Tag the person most likely to have the answer.
  • When approving or requesting changes. A tag makes the approval visible immediately.

What happens without a tag

If a comment is posted without tagging anyone, it is still saved on the task, but no notification is sent. The team will only see it the next time they open that specific task. This can cause delays.

Think of tagging like sending a message. Without a tag, the comment is more like a note to yourself. With a tag, it becomes a direct message that triggers a notification.

Replying to a comment

To continue a conversation, simply add another comment on the same task. Tag the person being replied to so they are notified. The full comment history is preserved in order, creating a clear thread.

Tips for effective comments

  • Be specific. "Change the headline on the About page to say X" is actionable. "I don't like it" is not.
  • Consolidate feedback. Leave one detailed comment rather than five separate ones. This makes it easier to track and act on.
  • Reference exact locations. If commenting on a design or document, mention the specific section, page, or element.
  • Always tag. This cannot be overstated. No tag = no notification.
