Portal Messages
The portal includes a built-in Chat section (the second item on the portal home screen) for project-related messaging. Use it for general project discussions that do not relate to a specific task on the board.
When to use Chat vs. task comments
| Use | When |
|---|---|
| Task comments | Feedback on a specific deliverable, revision requests, approvals. The comment stays attached to the task. |
| Chat | General project questions, strategy discussions, scheduling, or anything not tied to a specific task. |
When in doubt, use the method that keeps the context closest to the work. If the topic is about a specific deliverable, comment on the task. If it is a broader question, use Chat.
How to send a message
- From the portal home screen, click Chat.
- Type the message in the text field.
- Tag the team using @ followed by their name so they receive a notification.
- Send.
Always tag the team using @ when sending a chat message. Without a tag, no notification is sent and the message may be missed. This is the most common mistake. See Commenting and Tagging.
Replying in Chat
- Open the Chat from the portal home screen.
- Type the reply in the message field.
- Tag the team using @. Without a tag, no notification is sent.
- Send.
The reply appears in the existing thread. The full chat history is preserved in order.
Message formatting
Chat supports:
- Bold and italic text for emphasis
- File attachments (drag and drop or click to attach)
- Links (paste a URL and it becomes clickable)
Tips
- Keep it focused. Use Chat for general questions and updates. Use task comments for deliverable feedback.
- Check Chat regularly. Especially during active project phases.
- Always tag using @. This applies everywhere in the portal. Without a tag, no notification is sent.
